PETTY CASH POLICY
WHEREAS, in order to serve the Township residents adequately, there is a requirement to establish a Petty Cash Office of the Clerk for Richfield Township, Summit County, Ohio, and
NOW, THEREFORE, BE IT RESOLVED by the Board of Trustees of Richfield Township, Summit County, Ohio,
SECTION 1. There is hereby established a petty cash policy for Richfield Township
SECTION 2. The Board of Trustees has provided for this policy by virtue of Resolution No. 4-=2001 which authorizes the establishment of a petty cash account in the amount of $200 for the payment of miscellaneous expenses directly related to the orderly administration of the Township Administrative Offices.
SECTION 3. The Administrator is hereby authorized to make expenditures of up to $200 provided there are sufficient monies remaining in the account and provided sufficient documentation is secured evidencing the expenditures, in accordance with this policy. Any single expenditure may not exceed $100.
SECTION 4. In order to utilize petty cash funds, each authorized person shall secure at the point of purchase or expenditure a receipt from the vendor of goods or services evidencing the date of the purchase, the amount of the purchase, the type, quantity an description of each item purchased, and the individual by whom the service or material was purchased, and similar documentation is necessary for expenditures. Such receipt shall be provided to and maintained in a permanent file by the Clerk to evidence the appropriate nature of the expenditure, with a copy to the Township Administrator. The Administrator shall provide a report summarizing all petty cash expenditures and shall provide all receipt sand documentation evidencing each expenditure to the Trustees on a monthly basis for approval and replenishing of the petty cash account by the Trustees.
SECTION 5. Use of petty cash shall be limited to public purposes. Petty cash shall not be used by individuals for any private individual purposes, be they temporary or permanent personal needs. Examples of such public purposes are: purchase of office equipment, supplies, materials, purchase of postage needed for Township operations, purchase of personnel equipment which expense is the responsibility of the Township to provide, payment to service providers, change for receipt of cash or checks received for Public Records, documents and other Township Services, etc.
SECTION 6. Any person who violates this policy or who uses petty cash for personal uses subjects himself/herself to disciplinary action and such other civi8l or criminal sanctions as may be imposed by law.
WHEREFORE, this Resolution shall be effective immediately, and shall be subject at any time to revocation, amendment, or modification upon majority vote of the Richfield Township Trustees.
